Job Description – Sales Coordinator
Position Title: Sales Coordinator
Department: Sales
Reports To: Sales Manager / General Manager

Role Overview
The sales Coordinator supports the sales department in daily operations, ensuring smooth handling of quotations, tenders, customer communication, and coordination between the sales team, clients, and internal departments. This role requires strong organizational skills, accuracy, and the ability to manage multiple tasks efficiently.

Key Responsibilities
1. Quotations & Tender Management
Prepare, review, and submit quotations as required by the sales team.
Coordinate and compile tender documents, ensuring all requirements are met.
Verify tender conditions, compliance, deadlines, and supporting documents before submission.
Ensure timely submission of tenders (online/offline) and maintain proper records.
2. Sales Team Support & Follow-Up
Follow up with sales executives for updates on leads, opportunities, and pending tasks.
Track and update status of all quotations, tenders, site visits, and client communications.
Coordinate with the sales team for required forms, approvals, and internal documentation.
3. Sales Orders & Pending Work Tracking
Monitor and follow up on pending sales orders and ensure timely processing.
Coordinate with the operations, purchase, and stores teams to update order status.
Maintain accurate logs of open orders, delays, and expected completion dates.
4. Preparation of Sales Reports
Prepare daily, weekly, and monthly sales reports in the format required by management
Summarize quotation status, tender pipeline, site follow-ups, and revenue projections.
Highlight urgent issues, delayed submissions, or gaps in sales performance.
5. Client Communication & Coordination
Handle customer inquiries, document requests, and follow-ups professionally.
Schedule meetings, site visits, and coordinate with clients and internal teams.
Maintain updated customer contact lists and communication history.
6. Forms & Documentation
Prepare and maintain all relevant sales forms, checklists, and internal approvals.
Ensure proper filing of quotations, tenders, LPOs, contracts, and correspondence.
7. Site Coordination
Coordinate site-related requirements with the project/operations team.
Follow up on material readiness, manpower scheduling, and site progress updates.
Communicate site issues to the sales team and management promptly.
8. General Administrative Support
Prepare letters, emails, memos, and official communication related to sales activities.
Assist in creating presentations, proposals, and marketing materials when required.
Ensure all sales records are kept up to date and easily accessible.

Skills & Qualifications
Electrical Engineers Prefered
Minimum 2–3 years of experience in sales coordination (preferably in contracting/trading).
Strong knowledge of quotations, tender processes, and sales reporting.
Proficient in MS Office (Excel, Word, PowerPoint).
Excellent communication, follow-up, and time-management skills.
Ability to handle pressure, deadlines, and multitasking efficiently.
Salary 300 OMR
